A decline message rarely tells the merchant everything about an issuer’s decision. Staff should use the provider’s approved guidance and offer a respectful next step.

01

Insufficient funds or issuer decline

The customer may contact their bank or choose another eligible method. Staff should not speculate about account status or share sensitive details.

02

Authentication or validation problem

An expired credential, missing verification, or data mismatch can interrupt checkout. Review the supported customer retry flow without bypassing risk controls.

03

Technical or configuration error

Timeouts, duplicate requests, unsupported methods, or gateway settings call for a documented support escalation and careful reconciliation before retrying.

QUESTIONS THAT MATTER

Good answers make
better decisions.

Can staff see the exact reason for every decline?

Usually not. The provider may expose a general response; the issuer makes many decisions.

Should a merchant override a fraud decline?

Follow the provider’s approved review process rather than forcing a transaction through.
